Overview

The PDF Data Mapping behavior enables advanced PDF output features for Document Type exports and merges. It maps data from Grooper Document Types to PDF features, improving navigation, embedding metadata, and adding visual or interactive elements to the generated PDF.

This behavior is typically used when generating PDFs via the Merge or Export activities. It requires a PDF Data Mapping license.

Key Features

  • Metadata Mapping:
    Populate PDF metadata fields using values from the Document Type. This can include title, author, subject, keywords, and custom fields, making exported PDFs more searchable and informative.

  • Bookmark Generation:
    Automatically create PDF bookmarks based on document structure or data values, allowing for easy navigation within large or complex documents.

  • PieceInfo Embedding:
    Store custom data in the PDF's PieceInfo dictionary, enabling downstream systems or applications to access Grooper-specific information embedded in the PDF.

  • Annotations and Widgets:
    Add visual highlights, text boxes, signature fields, checkboxes, and radio groups to the PDF, mapped from Data Fields or Data Columns. Annotations can be configured for appearance, interactivity, and print behavior.

Usage Guidance

To use this behavior:

  1. Assign the PDF Data Mapping behavior to a Document Type or its parent Content Type.
  2. Configure the 'Metadata', 'Bookmarking', and 'PieceInfo' properties as needed to control what information is mapped to the PDF.
  3. Add and configure 'Annotations' to visually represent or collect data in the exported PDF. Each annotation can be linked to one or more Data Fields.

When exporting or merging documents, Grooper will apply these settings to generate enhanced PDF output.

Example Scenarios

  • Invoice Export:
    Add bookmarks for each invoice section, embed invoice metadata, and highlight key fields such as total amount due.

  • Form Generation:
    Place interactive textboxes and checkboxes mapped to Data Fields, allowing end users to fill out or sign the PDF electronically.

  • Archival:
    Embed custom PieceInfo for downstream processing or compliance, and ensure all relevant metadata is included for search and retrieval.

Notes

  • This behavior is inherited by child Document Types unless overridden.
  • Some features (such as interactive widgets) may require specific PDF viewers for full functionality.
  • For best results, ensure that the Document Type's data model is well-structured and that all referenced Data Fields are properly configured.

Premium Feature

PDF Data Mapping is premium feature which requires separate licensing. To view your current licensing entitlements, select the Root on the Design page, then select the Licensing tab. Contact your BIS account representative to inquire about premium features.
